1. Who we are, and who holds your data
TalentRally is hiring software. Employers (our customers) use it to advertise roles, receive applications, screen candidates, run interviews and — where they have enabled it — run proctored online assessments.
That means there are two different relationships in this policy, and it matters which one you are in:
- If you are a candidate, the employer you applied to decides what to collect about you and why. They are the data controller. TalentRally holds and processes that data on their instructions as the data processor. We do not decide to hire or reject you, and we do not use your application to market anything to you.
- If you are a recruiter or an employer using TalentRally, we are the controller of your own account data (name, work email, login, billing).
2. What we collect

3. Proctored assessments: cameras, screens and images
Some employers ask candidates to sit a proctored online test. Proctoring exists for one reason: so that a good result means something. We are specific about it here because it is the most intrusive thing this product does.
What is captured
Before the test starts, and then at random intervals of roughly five to ten minutes while it runs, the test page captures and uploads:
- a photograph from your webcam;
- an image of your entire screen;
- a reading of your microphone level (a number — no audio is recorded, and nothing you say during an assessment is listened to or stored);
- test-integrity events: leaving the test window, exiting fullscreen, attempted copy or paste, opening developer tools, a second monitor being detected, reconnections, and your IP address and browser fingerprint.
You are told exactly this on the consent screen before the test begins, and the test cannot start until you have agreed to it. If you do not want to be recorded, do not start the test — speak to the employer instead. Nothing is captured before you consent, and nothing is captured after you submit.
What is not captured
- No audio or video recording — still images only.
- No keystroke logging of what you type outside the test, and no reading of your files, other applications or browsing history.
- No capture at all once the test is submitted, terminated or expired. Screen sharing is released by your browser at that moment.
- No facial recognition, no face matching, and no identity verification against any document or database. The images exist so that a human reviewer at the employer can look at them; no automated decision is made from your face.
Who sees your proctoring images: only the employer running that test. The webcam photographs, screen images and integrity report for an assessment are visible solely to authorised users of the organisation that invited you to sit it. They are not shown to any other employer on TalentRally, not published, not sold, not shared with advertisers or data brokers, and not used to train any AI model.
How long we keep them: 30 days. Webcam photographs and screen images from a proctored assessment are automatically and permanently deleted 30 days after they are captured. Deletion runs on a schedule and is not something the employer has to remember to do.
Your answers, marks and the summarised integrity report are part of your application record and are kept for as long as that record is kept (see section 7) — but the images themselves are gone after 30 days, whatever happens to the application.
4. AI phone and video interviews
Where an employer uses AI interviews, the call is recorded and transcribed so it can be evaluated and so the employer can review it. You are told the call is being recorded at the start. The recording, transcript and resulting scores are visible to that employer only, on the same basis as everything else in section 6.
5. How we use data
- To run the hiring process the employer has set up: receiving your application, screening it against the role, arranging and running interviews and assessments, and reporting the results back to that employer.
- To operate, secure and support the service — including fraud and abuse prevention, and keeping assessments honest.
- To meet legal, tax and accounting obligations.
We do not sell personal data. We do not use candidate data, interview recordings, assessment answers or proctoring images to train AI models — ours or anyone else's.
6. Who we share it with
- The employer you applied to. They see your application, your interview and assessment results and, for a proctored test, the proctoring images and integrity report. No other employer using TalentRally can see them.
- Service providers we depend on, strictly to run the product: cloud hosting and object storage, email delivery, telephony for interview calls, and AI providers used for screening and grading. They act on our instructions, may not use the data for their own purposes, and are bound by contract.
- Authorities, where we are legally required to disclose.
- A successor, if our business or part of it is ever transferred — with this policy continuing to apply.
7. How long we keep it

8. Your rights
Depending on where you live, you may have the right to access the personal data held about you, correct it, ask for it to be deleted, object to or restrict how it is used, and receive a copy of it.
Because the employer is the controller of candidate data, the fastest route for a candidate is to ask that employer directly. You can also write to us at the address in section 10 and we will either action the request or pass it to the employer and help them action it. We do not charge for this, and we will not treat you differently for asking.
9. Security
Data is encrypted in transit. Proctoring images are stored in private object storage that is never publicly readable — every view is authenticated and served through a short-lived link that expires in minutes. Access is scoped so that an employer's users can only reach their own organisation's data, and within an employer, reviewers assigned to a specific job see only that job's candidates.
No system is perfectly secure, and we will not pretend otherwise. If a breach affects your data we will notify the affected employer and, where the law requires it, the relevant authority and you.

If we change this policy we will update the date at the top of this page. Where a change materially affects candidates — for example a change to what is captured during an assessment or how long it is kept — the consent text shown before a test changes with it, and previously given consents are no longer accepted.
